Terms and Conditions

These Terms and Conditions set forth obligations applicable to both Legal Guardians (hereinafter: “Parents) and children attending Ignite Summer Camp Program organized by the company Groove Madison (hereinafter: the “Ignite Summer Camp”):

GENERAL COMMITMENTS

  1. Children entering 3rd through 7th grade  can participate in Ignite Summer Camp’s 1 week programs. 

  2. All parents are required to read and explain to their children set of rules encompassed by “Parent’s Handbook” that shall be e-mailed to them timely before the start of respective programs.

  3. The directors reserve the right, at their discretion, to withdraw any camper whose influence or actions are deemed unsatisfactory, dangerous or incompatible to the Camp community or who will not live within the rules and policies of the Camp. If this occurs, no reduction or return of fee, or any part thereof will be made. Parents will also be responsible for any extra costs associated with returning their child home early.

  4. Our staff at Ignite Summer Camp  are mandatory reporters and are required to report any suspicion of child abuse, threats to a child’s safety, threats of violence by a child to themselves or another person, or child neglect to the relevant authorities. 

  5. Children maintaining the highest standard of conduct is required at all times. Using profanity, disparaging dialogues, physical violence, emotionally disparaging remarks,  or threats during participation in Ignite Summer Camp is strictly prohibited. Camp rules and instructions of Ignite Summer Camp counselors and staff must be followed at all times. 

  6. Any child causing physical harm or threat of violence to themselves or others will be immediately ejected from the program.  This includes bringing any firearms, or other weapon to the camp, roughhousing or putting their hands on any other child.

  7. With the exception of use of firearms, weapons, or physical violence, all other infractions in #5 will be dealt with by the following manner:  1st offense: warning to child 2nd offense: phone call to parent to pick up child. 3rd offense: miss next day of camp, and possible ejection from program. No refunds will be applied for these situations.   


  1. By accepting these Terms and Conditions, the parent confirms that his/her child has permission to participate in all camp programs, camp trips, special outings planned and supervised by Ignite Summer Camp. 

  2. By accepting this Terms and Conditions, parent confirms his/her acceptance that his/her child may be pictured/photographed/audio recorded (podcasts)  and that such material can be used by Ignite Summer Camp and/or Ignite Summer Camp’s business partners for promotion or marketing of summer camping and Ignite Summer Camp.

  3. The copyright of all photography appearing on our brochures or websites belongs to Ignite Summer Camp. No reproduction may be made without prior permission from the Ignite Summer Camp management.

  4. In the even that parent cannot be reached in an emergency when child is under Ignite Summer Camp supervision, by accepting this Terms and Condition, the parent gives permission to the physician selected by the camp to hospitalize, secure proper treatment for, and/or order injections, anesthesia, or surgery for the child as needed.  First choice will be the physician listed on the registration form.

  5. By Accepting this Terms and Conditions parent agrees to have his/her child examined by a licensed health care provider, who will complete the Ignite Summer Camp Health Examination Form (e-mailed to parent separately) documenting required immunization and overall health of the child. This form is due PRIOR to the camp start date. Any medical or dietary needs must be made known to the camp management prior to the child's arrival.

  6. All prescription medicine provided by a licensed Doctor must be turned into the camp staff upon arrival with instructions in English.  The medicine will have prescription and dosage information on and a physician's note to administer the medication. This will be dispensed by camp staff only.

  7. All children must bring a backpack to camp with a change of clothes, sunscreen, mosquito repellant, morning & afternoon snack and lunch. ABSOLUTELY NO NUTS ALLOWED.

  8. All your child's personal belongings are their own responsibility.  We will be moving to several locations around downtown Madison. Expensive and treasured items such as jewelry, designer clothes or shoes, electronics (phones/IPADS/Laptops) trainers, etc., should not be brought to the camp.

  9. All children at Ignite Summer Camp are prohibited from bringing or using all tobacco products, alcohol and drugs of any kind. This includes vaping. Anyone found to be using these will be immediately sent home. 

  10. No electronic equipment, including but not limited to: mobile phones, computers, TVs and video games are allowed at camp. No food items, including candy, are allowed at camp. Please do not send packages to your child that contain any of these items.

  11. Parents agree to support the Ignite Summer Camp Program by encouraging children to abide by the highest standards of positive conduct. They will discuss constructive concerns, if any, regarding Ignite Summer Camp Program, counselor or staff behavior or company policies with Ignite Summer Camp management.

  12. Parents agree to pay for property damage caused directly, or indirectly, as a result of negligent action of their child.

 

CANCELLATION POLICY


  1. If a camper cancels for any other reason before May 1st, a full refund will be sent to the participant, less the application deposit. 

  2. If a camper cancels for any other reason after May 1st refund will be

    1. May 1 - May 15 - 50% refund of total balance (minus non refundable deposit)

    2. May 15 - June 1 - 25% refund of total balance (minus non refundable deposit)

    3. After June 1st, no refund is available. 

    4. Any camper may transfer to another available camp session for no fee until June 15th. 


By payment of any sum to Ignite Summer Camp, you are acknowledging your agreement to the terms and Conditions of Ignite Summer Camp as described herein.

 

PRIVACY NOTICE

Participation in Ignite Summer Camp Program requires you to share both yours and your child’s personal information with Ignite Summer Camp, including names, pictures, addresses, emails, medical data, payment/tax related data and banking data. Below is a brief description of how Ignite Summer Camp will use your information:

  • Ignite Summer Camp (hereinafter: the “Ignite Summer Camp”) will keep your information on file.

  • Ignite Summer Camp will use personal information collected for the purpose of proactive communication and conducting of Ignite Summer Camp Program your child applied for.

  • Ignite Summer Camp employees, some of whom may be in the United States will be able to access your information if their work reasonably requires access to fulfill the purposes stated on this form.

  • Ignite Summer Camp will review your information to ensure it meets domestic and U.S. laws that are applicable to Ignite Summer Camp.

  • If potential legal or compliance concerns are identified, information that you provide may be shared with Ignite Summer Camp’s external legal advisors and/or domestic and foreign legal and regulatory authorities.

  • Documents related to your interaction with Ignite Summer Camp may be reviewed by Ignite Summer Camp’s internal corporate audit department or its external auditors.

  • Ignite Summer Camp will share your information to respond to information requests of governmental authorities or where required by law.

  • In very rare circumstances, where national, state, or company security is at issue, Ignite Summer Camp will share our entire database of visitors and customers with appropriate governmental authorities.

At all times you have the right to access your data and to amend or delete your personal information or to withdraw consent for collection and processing of your personal information. Medical Release 

The parent authorize the Ignite Camp / Groove Madison LLC as agent for the undersigned to consent with respect to said minor, to an x-ray examination, anesthetic, medical, dental or surgical diagnosis or treatment, and hospital care which is deemed advisable by, and is to be rendered under the general or special supervision of any physician or surgeon, whether such diagnosis or treatment is rendered at the office of the physician or at the hospital. The parent / legal guardian understands that the Ignite / Groove Madison LLC is not responsible for costs incurred for medical care.


In case of an emergency, they understand every effort will be made to contact the legal guardian/parent or the emergency contact persons listed on the registration form.   In the event that the legal guardian/parent cannot be reached, the parent/legal guardian hereby gives permission to the physician ( or physician on call in their place) to hospitalize, secure proper treatment, and to order anesthesia or surgery for their child.  If the physician is not available, an appropriate replacement will be found by the hospital recommendation.

 

Liability Waiver

The parent/legal guardian hereby gives their  approval for my child’s participation in any and all activities prepared by Ignite Camp and its parent LLC Groove Madison during the selected camp weeks.  In exchange for acceptance of said child’s candidacy by Ignite and Groove Madison, the legal guardian/ parent assume all risks and hazards incidental to the conduct of its activities, and release, absolve, and hold harmless Ignite Camp and Groove Madison and all its respective officers, agents, and representatives from any and all liability for injuries to said child arising out of traveling to, participating in, or returning from selected camp sessions. 


In case of injury to said child, the legal guardian / parent hereby waive all claims again Groove Madison and Ignite Camp, including all its counselors, speakers, and affiliates, all participants, all sponsoring agencies, advertisers, and, if applicable, owners and lessors of premises used to conduct the event. There is a risk of being injured in all outdoor and indoor activities and the legal parent / guardian  agrees to the risks set forth. 


By registering or participating, the legal parent/ guardian  agrees that individual accident insurance is not provided by Ignite Programs or its parent LLC, Groove Madison. The legal guardian / parent and camper(s)  also agree to adhere to program rules. The legal guardian / parent does hereby, for themselves, their heirs, executors and administrators, waive, release, and forever discharge any and all rights and claims for damages that their camper(s)  may have or that may hereafter accrue to me arising out of or in any way connected with their camper(s) participation in Ignite Summer Camp (Groove Madison LLC) activities. 



SEVERABILITY

If any clause, or portion of a clause in this Agreement is considered invalid under the rule of law, it shall be regarded as stricken while the remainder of this Agreement shall continue to be in full effect.

 

By payment of any sum to Ignite Summer Camp, you are acknowledging your agreement to the processing of your information as described in this Privacy Notice.
